Who we are
Chatchi is a WhatsApp booking service for salons, operated by PFLB, Inc. You can contact us at hello@chatchi.io about this notice or your information.
This notice covers website visitors, people trying Chatchi, salon owners and staff, and customers who use the booking assistant. Your salon also handles information about the services it provides; you can contact the salon about those records.
Information we handle
The information depends on the feature you use. Please share only what is needed for a booking or your salon setup.
- Contact and business information: WhatsApp number and profile name, names and contact details you provide, salon name, staff and service information.
- Conversations and attachments: messages to the assistant, voice notes, photos such as price lists or payment receipts, and information extracted from them.
- Bookings and payments: service, practitioner, appointment time, deposit amount, payment reference and status. Card-entry information is handled by the payment provider rather than a Chatchi card form. Do not send card details in chat.
- Calendar information: calendar identifiers, events and availability used to show schedules and avoid booking occupied times.
- Website and support information: technical request data needed to serve and secure the site, messages sent to our team, and information you choose to submit through an enabled demo form.
Why we use it
We use this information to answer messages, manage salon setup, find available times, create and update bookings, handle deposit status, show schedules, send booking-related notifications, and provide support and security.
A click on a WhatsApp link only opens a suggested message. You decide whether to send it. Clicking does not confirm a booking, start a paid subscription or sign you up for marketing.
Google Calendar and optional account access
Chatchi uses Google Calendar for salon schedules. Calendar events and availability can be stored in our database and included in the information used by the assistant to answer scheduling requests.
Connecting your own Google account is a planned, optional feature and is not currently offered publicly. When available, the consent screen must explain the permissions before access is granted. The intended purpose is to create staff calendars, manage booking events, and read events in the relevant calendars to avoid occupied times.
The intended use of Google API data is limited to the scheduling features you choose to use. It must follow the Google API Services User Data Policy, including Limited Use. It must not be sold, used for advertising or used to train general-purpose AI models. Necessary processing by service providers must be disclosed and limited to providing those features.
You can review and revoke an app’s Google access in your Google Account. Revoking access stops future access; it does not itself delete copies already held by Chatchi. Contact us separately about deletion.
Service providers and sharing
Information needed for the feature may be handled by these providers. Salon owners and authorized staff also receive the booking and schedule information needed to operate the salon.
- Meta / WhatsApp: delivering conversations and booking notifications.
- Google: hosting and synchronizing calendars.
- Xendit: payment collection and payment-status processing when real payments are enabled.
- Vercel and Neon: application hosting, stored attachments and database services.
- Anthropic: processing assistant conversations, relevant scheduling tool results and supported images.
- OpenAI: transcribing voice notes into text for the assistant.
- Tommos: the optional team-demo web form and real team-demo bookings once those channels are enabled.
Website examples and the demo form
Booking examples on this website are illustrations. They do not create a salon account, reserve a real appointment or charge you.
The optional Tommos demo form shows an explanation before you choose to load it. Loading shares basic browser/page information with Tommos and saves first-party attribution identifiers. Submitting shares the contact and business information needed for your demo request. A demo request does not reserve a time. Our team contacts you to agree on a meeting.
Cloudflare Turnstile processes technical browser and connection signals to protect this form from automated abuse and improve bot detection. The current marketing site does not include an advertising pixel. Emailing us shares your message and contact information so that we can respond.
Trial calendars and demo data
The internal WhatsApp trial uses a demo salon and simulated payments. It is not a live salon service or a paid subscription. Do not enter real customer lists, sensitive information or payment-card details.
Internal trial calendars can be publicly readable. Generated demo bookings use an anonymous customer label. Do not add personal information to calendar names, events or notes. Public calendar access is removed when the trial is converted into an account.
Retention and deletion
Messages are scheduled for deletion after 12 months. Stored voice notes and photos for active salons also have a 12-month cleanup rule. Conversations that have been inactive for 12 months, including the assistant’s stored conversation history, are removed during cleanup. Appointment and payment records are retained for salon operations and accounting.
Each message to an internal trial extends it for 48 hours. After expiry, the cleanup removes its calendar resources, demo bookings, conversations and archived attachments. Remaining trial settings are scheduled for deletion 30 days after expiry. Creating an account clears demo conversations and attachments; it changes the lifecycle of the saved salon settings.
Backup copies follow the hosting provider’s backup lifecycle and are not necessarily removed at the same moment. Service-provider records and legally required records may have separate retention requirements. For a data request, email hello@chatchi.io.
Your choices and requests
You can email hello@chatchi.io to request access, correction or deletion of your information. We respond to these requests within 30 days. Please describe your request without sending passwords or unnecessary sensitive documents.
The WhatsApp assistant supports a request to delete your data followed by explicit confirmation. This removes the conversation and archived attachments and anonymizes the customer profile; scheduled future appointments remain as anonymous booking records. Deletion does not itself cancel an appointment. Contact the salon separately if you want to cancel.
Request handling may require identity verification and may be subject to applicable legal recordkeeping requirements. For records controlled by a salon, we may need to coordinate with that salon.
Security and processing locations
Our hosting and database deployment is configured in Singapore. Other providers may process information in other countries according to their services. This is not a promise that all data stays in Singapore.
Protect access to your WhatsApp account, salon workspace and calendar-sharing links. Do not give access to people who should not see your salon or customer information.
Updates and contact
We will publish updates on this page with their date. Material changes to a Google-data use must be disclosed and consent obtained where required before the new use begins.
